DWI Administrative Assistant

The DWI Administrative Assistant is a part-time (20 hour/week) position. The major responsibilities of this position include the ability to efficiently and accurately maintain the financial accounting of the DWI program

Responsibilities Include:
  • Set up DWI group lists in Excel and all other pertinent computer software as a basis of preparing the DWI Reconciliation Form.
  • Track client attendance by group; adding and subtracting clients as they enter the program and discharge.
  • Enter new clients into the account
  • Prepare receipts for cash payments of monies received from clients as they enter the facility group.
  • Prepare formal statements for each client.
  • Reconcile system reports to attendance listings and deposit slips
  • Enter results of DWI Assessments completed by the counselor into the TIER computer program.
  • Prepare paperwork for random urinalysis screens on a weekly basis
  • File all test results into client's record.
  • Meet and greet clients.
  • Answer telephones and schedule assessments.
  • Research and respond to inquiries
Required Skills
  • Familiar or ability to learn basic bookkeeping procedures
  • Excellent telephone and communication skills
  • High School diploma or GED
  • CPR training and certification
  • Basic knowledge of Microsoft Office
  • Strong written and verbal communication

Admissions Counselor

The Admission Counselor is usually the first contact that a patient, family member or counselor makes at Ashley. The current opening is for a night-shift position where the hours are Tuesday, Wednesday and Thursday nights from 10:00pm to 8:30am and every other weekend from 11:30am until 10:00pm. The admission counselor answers calls, responds to inquiries, begins the admission or referral process and files or prepares paperwork.

Responsibilities Include:
  • Answer telephone inquiries, log patient information.
  • Make appointments and call back confirmations; attempt to motivate potential patients by maintaining contact on a systematic basis. Document callback outcome.
  • Conduct initial patient interviews; explain managed care process; complete intake portion of Bio-Psycho-Social Assessment.
  • Complete initial managed care clinical review based on DSMIV codes and ASAM criteria.
  • Establish payment for treatment costs; collect initial treatment payments from patients.
  • Coordinate patient financial information with Insurance Analyst, Utilization Review Manager, Financial Consultant, Counseling, Business and Executive Departments.
  • Submit data on potential patients to Director of Admissions for review; maintain database on referrals to other centers; maintain database on incoming calls from previous day.
  • Prepare and distribute Daily Census report.
  • Refer possible re-admissions to Chief Executive Officer or Director of Admissions.
  • Submit information on patients with physical or psychiatric conditions to Medical Director.
  • Collect information from patients and families in crisis situation; accurately interpret what needs to be done; de-escalate crisis situations.
  • Interact with emotionally upset clientele (patients and family members).
  • Obtain necessary releases, consent forms and confidentiality statements prior to admission.
  • Coordinate patient pick-up with driver; notify referral source upon patient's arrival.
Required Skills
  • Bachelor's degree and one year of experience, or AA degree and three years of experience or working toward either degree
  • Excellent telephone and communication skills
  • Knowledge of 12 Step program
  • Microsoft Office, typing and computer skills
  • Understand insurance and financial requirements

Weekend Counselor
The weekend counselor provides motivational counseling and assistance to patients and their families. This position is four 10-hour days, two of which are Saturday and Sunday.

Responsibilities Include:
  • Work directly with the Charge Nurse and the Program Service Assistants to ensure quality patient care throughout the weekend.
  • Available to meet with troubled patients and/or throughout the weekend and/or family members.
  • Assist with lectures on Saturday and Sunday, as indicated in the monthly education schedule.
  • Work with Charge Nurse on issues that may arise throughout the weekend.
  • Enter an individual progress note on each patient on Saturdays. Other individual progress notes will be entered in the patient's chart as appropriate throughout the weekend.
  • Meet with all new admissions from Friday in the Medical Stabilization Program to assess the following:
    • Ability to participate in program activities
    • Past recovery and treatment history to determine appropriate program placement on Monday
    • Problems that may need immediate attention
  • Enter progress notes on new admissions.
Required Skills
  • Minimum AA degree and Maryland State License (CSC-AD)
  • Strong written and verbal communication
  • Presentation skills and experience facilitating lectures, workshops, group and individual counseling
  • Microsoft Office
  • Ability to interpret educational material, assessments and treatment plans so patients understand the content.
  • Ability to probe and draw out thoughts, feelings, problems and concerns of the patient.

Phlebotomist - PRN (on-call)

This is a part-time position. The hours are 6-8am, one to three days a week.

Responsibilities Include:
  • Collect, prepare and process blood samples for analysis with accuracy and efficiency to reduce repeat collections.
  • Store samples, using appropriate prescribed preservation methods to maintain specimen quality.
  • Determine acceptability of specimens according to reference laboratory requirements; notify designated person(s) if specimens are not acceptable.
  • Check questionable test orders in a diplomatic manner with the charge nurse or Director of Nursing to assure appropriate patient care.
  • Verify patient identity and accurately label specimens according to reference laboratory requirements to ensure reliability of laboratory results and to avoid errors.
  • Demonstrate skills and competencies from young adults to geriatric, as appropriate; adjust techniques to meet age-specific needs and use interpersonal skills congruent to the age/development of the patient.
  • Clean and restock drawing trays and stations as needed; inform charge nurse of need to re-order supplies.
  • Provide coverage in absence of others to ensure availability of phlebotomy service.
  • Adhere to and comply with all departmental and organizational policies and procedures; complete all mandatory in-services in a timely manner.
Required Skills
  • CPR certified
  • Experience with electronic medical records

Program Service Assistant

Father Martin's Ashley has an opening for a Program Service Assistant. This position works with the clinical and medical staff, serving as a liaison to the patient community. Our team of PSAs facilitate cohesion and cooperation among the community and ensure that patients adhere to rules and attend all scheduled treatment events.

Responsibilities Include:
  • Assures patient attendance at assigned sessions, day, evening or night. Maintains seating charts and attendance documentation.
  • Assists counselors with showing films, discussions, 12 Step meetings and morning reflections.
  • Maintains order for a therapeutic community environment, providing for patient safety and well-being.
  • Oversees patient telephone hour and assists with the visitation process
  • Performs scheduled rounds on premises.
  • Assists with patient luggage; removes unauthorized items.
  • Assists clinical and medical staff with distributing patient material, including appointments and messages.
Required Skills
  • Candidates should have the ability to work as a team member in an inpatient setting and have good computer skills
  • Excellent interpersonal skills
  • Ability to lift up to 60 lbs and walk regularly to perform duties
  • Familiarity with 12 Step program is a plus

Recreation Coordinator
Father Martin's Ashley has an opening for a Recreation Coordinator. This position works with the Recreation Supervisor to coordinate recreation and physical activities for patients.

Responsibilities Include:
  • Develop a personal fitness plan with patient input following American Counsel on Exercise (ACE) guidelines.
  • Create special exercise plans for patients with medical conditions such as diabetes, asthma, arthritis, etc.
  • Schedule weekly group activities such as volleyball, softball, etc.
  • Maintain patient daily attendance record by documenting level of participation and prepare a monthly attendance report.
  • Research and develop new patient activities and submits to Clinical Program Director for review.
  • Attend scheduled ACE workshops or seminars to maintain certification and knowledge.
Required Skills
  • Basic knowledge of Microsoft Office
  • Ability to use and demonstrate exercise equipment and exercises
